WhatsApp vs WhatsApp Business: Which One Does Your Business Need?

There are actually three products with similar names — the standard WhatsApp app, the WhatsApp Business app, and the WhatsApp Business API. Here is what each one does, where each one stops, and how to choose.

WhatsApp, WhatsApp Business and the WhatsApp Business API

Three products, three very similar names, and a lot of confusion. Before comparing them, it helps to see all three side by side:

The rest of this guide walks through each one and finishes with a simple way to decide.

The standard WhatsApp app

Regular WhatsApp is the consumer messenger almost everyone in India already has. It is free, end-to-end encrypted, and designed for personal conversations and groups.

You can run a small business from it, and many people do, but it gives you nothing built for that job: no business profile, no catalog, no labels, no saved quick replies, and no automated greeting when someone messages you after hours. Every reply is manual, from one phone, by one person. It works until you are handling more chats than you can personally keep up with.

The WhatsApp Business app

The WhatsApp Business app is a separate free download from Meta, aimed at solo owners and very small shops. On top of normal messaging it adds:

  • A business profile with your address, hours, website and a category
  • A product catalog customers can browse inside the chat
  • Labels to colour-code chats by stage — new lead, paid, shipped
  • Quick replies — canned answers you trigger with a shortcut
  • Greeting and away messages — the only automation it offers
  • A short link (wa.me) so people can message you without saving your number

Where it stops: it still runs on one phone number tied to one account, with only a handful of linked devices and no real multi-agent inbox — two staff cannot properly share the queue. Broadcasts still go only to lists of up to 256 saved contacts who have saved your number back. There is no chatbot logic beyond the away message, no CRM, and no integrations. For a one-person operation it is often enough; for a team it is not.

The WhatsApp Business API

The WhatsApp Business API (Meta now calls it the WhatsApp Business Platform) is not an app you download. It is an interface that businesses connect to through an approved provider such as Liliya, who gives you a web dashboard on top of it. That unlocks the things the apps cannot do:

  • A shared team inbox — many agents answering one WhatsApp number, with assignment and internal notes
  • Broadcasts to opted-in lists of any size, using Meta-approved message templates
  • A no-code chatbot and workflows for instant replies, FAQs and lead qualification
  • Integrations with your CRM, website, catalogue and tools like Google Sheets or IndiaMart
  • Eligibility for the green verified-business tick and a higher messaging limit as you grow

The trade-off is that the API is a paid product and takes a short setup — see our full explainer on the WhatsApp Business API for how provisioning and verification work.

How the pricing compares

Both the standard app and the WhatsApp Business app are completely free. The API has two cost layers:

  • A platform subscription to your provider for the dashboard, inbox, broadcasts and automation. With Liliya this is a flat fee from ₹2,000/month with unlimited team members — see plans and pricing.
  • Meta's per-message fees, billed by the recipient's country and message category (marketing, utility, authentication, service). These apply with every provider; many service replies inside the 24-hour customer window are free.

So the honest comparison is: the apps cost nothing but cap what you can do; the API costs a predictable monthly fee plus usage, and removes those caps.

Which one should you use?

Match it to how you actually work today:

  • Stay on the WhatsApp Business app if you are one person, replying from one phone, sending the occasional update to under 256 saved customers, and manual is manageable.
  • Move to the WhatsApp Business API if two or more people need to answer the same number, you want to broadcast to a growing opted-in list, you need automated replies or a chatbot, or you want WhatsApp connected to your CRM or store.

You do not have to get it perfect on day one — plenty of businesses start on the Business app and switch to the API through a provider like Liliya once the volume justifies it. Moving keeps your number; you just re-register it on the API.

Frequently Asked Questions

Is WhatsApp Business free?

Yes. The WhatsApp Business app is a free download from Meta, just like standard WhatsApp. Costs only appear if you move to the WhatsApp Business API, which needs a platform subscription (from ₹2,000/month with Liliya) plus Meta's per-message fees.

Can I use WhatsApp and WhatsApp Business on the same phone?

Yes, as long as each app uses a different phone number. Most people keep standard WhatsApp on their personal number and the WhatsApp Business app on a separate business number, both on the same device.

What is the difference between the WhatsApp Business app and the WhatsApp Business API?

The WhatsApp Business app is a free phone app for one person running a small business. The WhatsApp Business API is a paid platform, accessed through a provider like Liliya, that adds a multi-agent shared inbox, unlimited-size broadcasts, chatbots and CRM integrations for teams.

Will I lose my chats if I switch to WhatsApp Business?

Moving from standard WhatsApp to the WhatsApp Business app on the same number lets you migrate your existing chat history during setup. Moving from the Business app to the WhatsApp Business API does not carry chat history over, because the API stores conversations in your provider's dashboard rather than on the phone.

When should I move from the WhatsApp Business app to the API?

Common triggers are: a second team member needs to reply from the same number, your broadcast audience outgrows the 256-contact list limit, you need automated replies or a chatbot, or you want WhatsApp linked to your CRM, website or catalogue. Until then, the free Business app is usually enough.
