WhatsApp on Multiple Devices: Two Phones, Web Login and Team Access

How many devices can use one WhatsApp number?
One WhatsApp account runs on one primary phone plus up to four linked devices — five in total, all on the same number. A linked device can be a second phone, a tablet, a computer browser, or the desktop app.
You link a device instead of logging in again: on your primary phone open Settings → Linked devices → Link a device, then scan the QR code shown on the other screen. Each linked device connects independently and keeps end-to-end encryption. If the primary phone stays offline for about two weeks, WhatsApp automatically signs out every linked device, so the primary phone is still the anchor of the account.
Can you log in to WhatsApp with a Gmail or email address?
No. WhatsApp has no email or Google login. An account is tied to a phone number, and you verify it with a one-time code sent by SMS or call. There is no username-and-password screen and no "sign in with Gmail" option.
The only place email appears is account recovery: you can add an email address to two-step verification so you can reset your PIN if you forget it. That email never becomes a login by itself — you still need the phone number and its verification code.
WhatsApp Web and Desktop as a second screen
WhatsApp Web (web.whatsapp.com) and the Windows or Mac desktop app each take one of your four linked-device slots. They mirror the same single account: the same chats, the same one identity replying. For one person who wants a keyboard and a big screen while their phone is in a drawer, this works well.
What it is not is a team tool. Everyone on WhatsApp Web for that number is signed into the same account, seeing the same undivided list of chats, with no way to tell who is handling what.
Where the linked-device model breaks for teams
Linked devices were built to give one person more screens, not to give several people a shared workspace. Put two or more staff on the same number this way and you hit real problems:
- Everyone sees one merged inbox with no assignment — two people reply to the same customer, or both assume the other did
- No record of who said what — every message looks like it came from the business, not from an agent
- No roles or permissions — anyone linked can read every conversation and delete chats
- The four-device cap means a fifth teammate simply cannot connect
- If the owner's primary phone dies or goes offline for two weeks, the whole team is logged out
Quick setup: link a second device now
- On your main phone, open WhatsApp (or the WhatsApp Business app) and go to Settings → Linked devices.
- Tap Link a device and confirm with your phone's unlock method.
- On the second phone, tablet or computer, open WhatsApp Web or the app and display the QR code.
- Point your main phone's camera at that QR code to link.
Repeat for up to four devices. When four is not enough, or when you need assignment and roles, that is the signal to move to the API and a paid plan.
